Memorandum

To help ensure a clear and consistent image for the university, it is important to carefully follow the guidelines provided below. The example shown here is reduced in size.

Since university faculty and staff occasionally send memos out as attachments via e-mail, there is a need for a letterhead template. The header and footer of this electronic template are not intended for modification. It is not possible for an identical match to the approved stationery with the new logo on the electronic templates. In order to maintain consistency of color and design, the template is not to be used as letterhead nor printed on a color printer in lieu of official, personalized stationery.

Just as the header and footer of this electronic template should not be modified, the margins of the document are not to be altered. Do not adjust the formatting of the memorandum template as to maintain proper alignment of all elements in the document.

Before attaching a memo to an e-mail in MS Word, convert the file to a PDF format to prevent scrambling and eliminate Word’s red or dotted line details showing. Instructions for converting an MS Word document to a PDF file are posted below.

All stationery products must be ordered through the LeTourneau University purchasing agent in the business office at Ext. 4186.

Converting an MS Word Document to a PDF:

  • Open the document.
  • Click on “office button” or file.
  • Choose “send.”
  • Choose “Email as PDF Attachment.”
  • The attachment will appear within your e-mail.
  • Right click and choose “Save as.”
  • Save the new pdf document to My Documents or your desktop.
